Creating Access Passes
An access pass is for someone who needs into your property but doesn't need a Staykey login: the pool service, pest control, a handyman, your own staff. They get one link with their code and buttons for the doors you choose.
Passes replaced Staff Access. Everyone who was in Staff Access moved over as a pass, with their properties, doors and code. Their old links keep working until you send or rotate a new one.
Giving a cleaner access? Invite them as a cleaner instead. They get each job's code automatically, plus checklists and payments. See getting started with Staykey Cleans.
Adding a co-host or manager? They need a Staykey login, not a pass. See adding a co-host or team member.
Before you start: Default pass devices
Each property has Default pass devices: the doors a new pass starts with there. Set them once so passes never include the owner's closet unless you add it.
- Open the property
- In the Access group, choose Default pass devices
- Pick the devices vendors should be able to use, and save
Creating a pass
- Click Access in the sidebar
- Click New (or New pass if you have none yet)
- Who: enter a Name, plus a Phone or Email to send the link to
- Where: pick the Properties, or switch on All properties so properties you add later join the pass automatically. Each property starts with its default pass devices; change them per property if you need to. Then choose how the Access code works:
- Smart: a code Staykey programs on the pass's smart locks. Leave the code blank and Staykey picks one, or click Suggest a code.
- Static: a code you've already set up, like a lockbox
- None: no code. They use the buttons on their pass.
- When and send: choose Ongoing (works until you pause it) or Specific dates (a start, an end, or both). Times are in the properties' time zone (or your own, if they're in different zones), and the sheet says which. Add Instructions if you like; they're shown on the pass.
- Leave Send the link now on to email the link, then click Create pass
Codes are 4 to 8 digits. If a code clashes with another pass or a code already on a lock, Staykey tells you exactly which one, so you can pick another.
About texting: the Text option shows Texting isn't available yet for most accounts. Send by email, or use Copy link and send it wherever you already talk to the person.
Managing passes
Every pass on the Access page shows its status (Active, Scheduled, Paused or Ended), its locks' state (Ready, Programming or Lock problem), and when the link was last opened.
The menu on each row has:
- Open pass: see and edit everything about the pass
- Send by email or Copy link
- Pause or Resume: pausing clears the code from the locks and turns off the link until you resume. Resuming puts both back.
- Renew (for an ended pass): suggests new dates. Check them and click Save.
- Delete: clears the code from the locks and turns off the link for good
Open a pass to change its person, dates, code, properties, instructions, or a Private note only your team sees. Changes wait under Unsaved changes until you click Save, and then the code goes on or comes off the locks to match.
The pass also shows:
- When it was sent and opened, so you know whether they got it
- Locks, with each lock's state. A lock problem comes with the reason in plain words and a Retry button.
- Activity, everything that happened on this pass. See using the activity feed.
- Rotate link, which turns off the current link and gives you a new one to send. Use it if a link ends up somewhere it shouldn't.
What the pass holder sees
The link opens in any browser, with no app and no login. It shows:
- Their code and where it works. Before the pass starts, it says the code shows up when the pass starts.
- Their properties. Each one has Directions, the code for that property, and Doors and garage: a Lock/Unlock or Open/Close button for each device you chose. Locks connected through a cloud account are code-only, so they don't get buttons; the pass holder uses their code at the door.
- Your instructions, as a note from your organization
If you pause the pass, the link shows a paused screen. When it ends, it says so and suggests they ask you if they still need access. A rotated link says it was replaced and to ask you for the new one.
